Construction Project Coordinator VA

A senior construction project coordinator keeps projects moving between the project manager, consultants and trades: tracking the programme, RFIs, submittals and variations so nothing stalls and the client always knows where the job stands.

Responsibilities

  • Maintain the project programme in Microsoft Project, Primavera P6 or Procore, updating progress weekly and flagging slippage to the project manager.
  • Coordinate RFIs, submittals and shop drawing reviews between subcontractors, architects and engineers, and chase overdue responses.
  • Prepare and distribute meeting agendas, minutes and action registers for site, client and design meetings.
  • Track variations, extensions of time and claims, keeping the contract register current and supporting the project manager's assessments.
  • Manage document control so drawings, specifications and revisions in Aconex or Procore are always the latest issue.
  • Monitor subcontractor procurement, ensuring scopes, quotes and contracts are locked in ahead of when each trade is needed on site.
  • Compile monthly progress reports covering programme, cost, safety and quality for the client and head office.
  • Coordinate handover documentation including operation manuals, warranties, as-built drawings and defect lists.
  • Support cost tracking by matching committed costs and forecasts against the budget in the project's cost system.
  • Liaise with councils, utilities and certifiers to schedule inspections and approvals on time.
