Property Management Assistant VA

Responsibilities

  • Tenant Relations:
  • - Serve as a primary point of contact for tenants, addressing inquiries, concerns, and requests related to property management.
  • - Coordinate lease agreements, renewals, and terminations, ensuring compliance with rental policies and regulations.
  • - Conduct regular property inspections and respond to maintenance and repair requests in a timely manner to ensure tenant satisfaction.
  • Administrative Support:
  • - Provide administrative assistance to the property management team, including drafting correspondence, maintaining records, and processing documentation.
  • - Assist in the preparation of budgets, financial reports, and property performance analysis to support decision-making and reporting requirements.
  • - Coordinate meetings, appointments, and property tours for prospective tenants, vendors, and stakeholders.
  • Property Maintenance and Operations:
  • - Assist in the coordination of property maintenance activities, including repairs, renovations, and preventive maintenance.
  • - Coordinate with contractors, vendors, and service providers to schedule and oversee maintenance work and ensure quality standards are met.
  • - Monitor property systems and equipment, such as HVAC, plumbing, and electrical, to identify maintenance needs and address issues proactively.
  • Tenant Communications and Marketing:
  • - Assist in the development and implementation of tenant communication strategies, including newsletters, announcements, and updates.
  • - Support marketing efforts to attract and retain tenants, including drafting marketing materials, managing online listings, and coordinating property tours.
  • - Maintain tenant databases and contact lists to facilitate communication and engagement with current and prospective tenants.
  • Compliance and Regulatory Support:
  • - Assist in ensuring compliance with local, state, and federal regulations governing property management, rental housing, and tenant rights.
  • - Maintain records of lease agreements, tenant communications, and property-related documentation to support compliance efforts.
  • - Stay updated on changes in regulations and industry best practices related to property management and rental housing.

Requirements

  • - High school diploma or equivalent required; Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
  • - 1-2 years of experience in property management, real estate, or related administrative roles.
  • - Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • - Excellent communication and interpersonal skills, with the ability to interact professionally with tenants, vendors, and team members.
  • - Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software (e.g., Yardi, AppFolio, Buildium).
  • - Knowledge of property management principles, leasing practices, and landlord-tenant laws and regulations.
  • - Detail-oriented with a focus on accuracy in documentation, record-keeping, and administrative tasks.
  • - Ability to work independently with minimal supervision, as well as part of a team in a fast-paced, deadline-driven environment.
  • - Customer service-oriented mindset with a commitment to providing exceptional service and support to tenants and stakeholders.
  • - Flexibility and adaptability to handle changing priorities, urgent requests, and property management issues as they arise.
