Responsibilities
- Contact nominated referees by phone and email and conduct structured reference interviews using the client's question set.
- Verify employment dates, titles, responsibilities and reasons for leaving directly with former employers or HR departments.
- Confirm qualifications, licences and certifications with issuing institutions and registries.
- Coordinate background, criminal, credit and right-to-work checks with third-party providers where the client uses them.
- Document each check accurately with dates, contacts, answers and any discrepancies in the ATS or reference tool, for example Checkr, Xref, HireRight or Refapp.
- Flag inconsistencies, red flags or refusals promptly to the recruiter or hiring manager with a clear written summary.
- Meet turnaround targets, typically 2 to 3 business days per candidate, and chase unresponsive referees persistently.
- Maintain consent forms and handle candidate data in line with privacy law and the client's policy.
- Report weekly on checks completed, turnaround times and discrepancy rates.

Requirements
- At least 5 years of experience in reference checking, pre-employment screening, recruitment support or HR administration.
- Familiar with reference and background check platforms such as Xref, Checkr, HireRight, Sterling or Refapp and with ATS systems.
- Understands consent, privacy and fair-use rules for pre-employment checks in at least one of the client's markets.
- Confident, courteous phone manner and clear spoken English for reference interviews with senior referees.
- Precise written English for reference summaries that a hiring manager can rely on.
- Persistent and organised, able to manage many concurrent checks against deadlines.
- Reliable high-speed internet and backup power, working hours overlapping the client's business day when referees are reachable.
